Version 1.0 · Effective May 10, 2026
1. Who we are
Road Smart Solutions ("Road Smart Solutions," "we," "us," or "our") operates the Platform described in our Terms of Service. This Privacy Policy explains how we collect, use, disclose, and otherwise process personal information in connection with the Platform. Capitalized terms used but not defined here have the meanings given in the Terms of Service.
2. Scope
This Policy applies to personal information we process when you use the Platform or otherwise interact with us in relation to the Platform. It does not apply to information processed solely by independent Providers, though we may receive limited information from them as described below. Third-party sites and services that link from the Platform are governed by their own policies.
3. Information we collect
Depending on how you use the Platform, we may collect:
- Account and identity information: such as name, email address, telephone number, business name, account type, credentials, and verification documents you choose to upload.
- Transaction and service information: such as orders, quotes, policies, vehicles, payment status (we generally do not store full payment card numbers where a processor tokenizes them), communications you send through the Platform, and customer support interactions.
- Technical and usage information: such as device type, operating system, browser type, IP address, approximate location derived from IP, log files, diagnostics, and usage events (e.g., pages viewed, features used).
- Marketing preferences: such as your choices about receiving promotional communications, where permitted.
4. How we use information
We use personal information to:
- Provide, operate, maintain, secure, and improve the Platform;
- Create and manage accounts, authenticate users, and verify eligibility where required;
- Process transactions and facilitate interactions with Providers you select;
- Communicate with you about the Platform, service updates, security alerts, and support;
- Detect, investigate, and prevent fraud, abuse, and illegal activity;
- Comply with legal obligations and enforce our terms and policies;
- Analyze usage in aggregate or de-identified form to understand performance of the Platform.
Where the laws of your jurisdiction require a "legal basis" for processing, we rely on appropriate bases such as performance of a contract, legitimate interests (balanced against your rights), consent where required, and legal obligation.
5. How we share information
We may share personal information with:
- Providers: to complete requests you initiate (for example, sharing your contact details with an insurer or repair network you choose).
- Service providers: who assist us with hosting, analytics, communications, payment processing, fraud prevention, customer support, and security, subject to contractual confidentiality and security obligations.
- Professional advisers: such as lawyers, auditors, and insurers, where necessary.
- Legal and safety: when required by law, legal process, or governmental request, or to protect the rights, property, or safety of Road Smart Solutions, our users, or the public.
- Business transfers: in connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to appropriate safeguards.
We do not sell your personal information for money as that term is commonly understood in U.S. state privacy laws.
6. International transfers
We may process and store information in countries other than where you live, including the United States. Where required, we implement appropriate safeguards (such as standard contractual clauses approved by relevant regulators) for transfers of personal information from the European Economic Area, the United Kingdom, or Switzerland.
7. Retention
We retain personal information for as long as necessary to fulfill the purposes described in this Policy, including to satisfy legal, accounting, or reporting requirements, resolve disputes, and enforce agreements. Retention periods vary depending on the nature of the information and legal requirements.
8. Security
We implement technical and organizational measures designed to protect personal information against unauthorized access, alteration, disclosure, or destruction. No method of transmission over the Internet is completely secure; we cannot guarantee absolute security.
9. Your rights and choices
Depending on your location, you may have rights to access, correct, delete, or export certain personal information; to object to or restrict certain processing; to withdraw consent where processing is based on consent; and to lodge a complaint with a supervisory authority. You may manage some information in your account settings. To exercise other rights, contact us at the email below. We will respond in accordance with applicable law.
You may opt out of promotional emails by using the unsubscribe link in those messages, where available. You may still receive transactional or security-related messages.
10. Children
The Platform is not directed to children under the age of majority in their jurisdiction, and we do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us and we will take appropriate steps to investigate and delete such information where required.
11. Cookies and similar technologies
We and our service providers may use cookies, pixels, local storage, and similar technologies to operate the Platform, remember preferences, measure performance, and improve security. You can control cookies through your browser settings; disabling cookies may affect functionality.
12. U.S. state privacy rights
Residents of certain U.S. states may have additional rights regarding personal information, including rights to access, delete, correct, or opt out of certain processing. We honor those rights where applicable. Because statutory definitions and requirements differ, submit requests through the contact email below and we will respond consistent with applicable law. We do not "sell" personal information or "share" it for cross-context behavioral advertising as those terms are defined under the California Consumer Privacy Act, as amended.
13. Changes to this Policy
We may update this Privacy Policy from time to time. We will post the updated Policy on the Platform and revise the version identifier and effective date at the top of this page. Where required by law, we will provide additional notice or obtain consent.
